HIMSS24 APAC is co-organized by the Healthcare Information and Management Systems Society(“HIMSS”) & Messe Esang Co., Ltd. The term ‘Organizers’ refers to HIMSS and Messe Esang Co.,Ltd. Upon submission of registration information, the terms and conditions set forth below are binding between the organizers and the registrant (“you,” “your,” or “registrant,” as applicable).

HIMSS Legal

A. In order to provide convenient and diverse services to registrants, the organizers can advertise or market various notification services provided by the company via general mail, email, or SMS (cell phone text message). In this case, if the registrants do not wish to receive the service, they may refuse the service by notifying the exhibition secretariat by wire or written notification.

B. Items for collecting personal information: The personal information collected by the organizers shall be the minimum necessary for providing services. However, additional information may be requested if necessary. The organizers require the following personal information items as mandatory entries from registrants on the site. Any personal information of registrants excluding the required input items listed below is classified as optional input.

Required items: email (ID), password, name, mobile phone, company, department, job title, title, country, personal title, worksite.

C. When collecting the registrant’s personal information, the organizers must obtain the registrant’s consent and do not collect information that may violate basic human rights, such as race, origin, birthplace, ideological and political orientation, criminal records, and health status, unless it is by the user’s consent or applicable laws.

In principle, the organizers retain and use the user’s personal information only for the notified and agreed-upon period, and destroy it without delay once the purpose of collecting and using the personal information is fulfilled. However, the following information shall be preserved for the specified reason and period.

A. Reasons for holding information under relevant laws and regulations

If preservation is required under the provisions of related laws, such as the Commercial Act and the Consumer Protection Act in e-commerce, the organizers will retain registrants’ information for the period prescribed by relevant laws. In such cases, the stored information is used solely for the purpose of retention, and the retention period is as follows.

① Contracts for services such as exhibition hall and meeting room rentals: 5 years.

Preservation is mandated until the end of the period for the following reasons:

a) Records on transactions, such as indications, advertisements, contract details, and performance under the Act on the Protection of Consumers in Electronic Commerce, etc. include:

– Record of display and advertisement: 6 months.
– Supply record of contract or subscription withdrawal, payment, goods, etc.: 5 years.
– Records on handling consumer complaints or disputes: 3 years.

b) Books and evidentiary documents concerning all transactions prescribed by the Tax Act under the National Tax Standards Act: 5 years

② Use of exhibition pre-/site registration records and marketing advertisements: 5 years

③ Details of rejection of marketing advertisements for the exhibition: 10 years

B. The registrant’s personal information will be destroyed without delay once the purpose of its collection and use has been achieved. Furthermore, upon revocation of consent, the organizers shall destroy the user’s personal information immediately, except for the data stored for a certain period as specified in the reasons for holding information stated above. Additionally, if personal information has been entrusted to a third party, the organizers will instruct the trustee to destroy this information without delay.

C. Personal information printed on paper shall be destroyed by shredding or incineration using a grinder. Personal information stored in the form of electronic files shall be destroyed using a technical method that makes recovery impossible.

A. the organizers use registrants’ personal information only within the scope notified by the “Personal Information Collection and Use Items and Purpose” and will not use it beyond this scope without the registrant’s prior consent. In principle, the organizers do not provide the user’s personal information to a third party, except in the following cases:

① When registrants have previously agreed to the disclosure or provision to a third party.
② Where there is a request from investigators and supervisory authorities in accordance with the provisions of laws and regulations or in accordance with the procedures and methods prescribed in the Act for investigation or investigation purposes;

When a request is made by investigators or supervisory authorities in accordance with the provisions of laws and regulations, or in accordance with the procedures and methods prescribed by the Act, for the purpose of conducting investigations or inquiries;

B. The organizers may entrust the processing of personal information to third parties to ensure smooth and improved services.

C. The information entrusted for processing is limited to the minimum necessary to provide services efficiently.

D. To ensure the secure management of personal information in consignment contracts, the agreement specifies and mandates compliance with personal information protection laws, the confidentiality of personal information, the prohibition of disclosure to third parties, liability in the event of an incident, the duration of the consignment, and the obligation to return or destroy personal information after processing.

E. Information will be provided to HIMSS & KHF exhibitors only under the following conditions and will be used exclusively for the purpose of providing guidance about the company and its products to the exhibitors. The decision to offer such information rests with the registrants

① Allowing exhibitors to collect barcodes issued upon entry using their scanning equipment is considered implicit consent to provide the registrant’s registration information to the relevant company.

F. The information collected is part of the international exhibition certification system operated by the Ministry of Trade, Industry, and Energy, and may be provided to the Korea Exhibition Industry Promotion Association (AKEI).

The organizers are doing its best to ensure that registrants can use the organizer’s services safely. Registrants may report any complaints related to the protection of personal information arising from the use of the organizer’s services to the person in charge of personal information management or the dedicated department. The organizers will respond quickly and earnestly to registrants’ reports.
